§ 01

Running on someone else's calendar

A college's operating problem is that its most consequential deadlines are set elsewhere. The affiliating university decides when exam forms close, in what format internal assessment is submitted, and when results are declared. Missing one of those is not an internal inconvenience — it costs students a semester.

Underneath that sits a rule with teeth: attendance shortage. A student below the threshold is detained and cannot sit the examination, and that determination has to be defensible against an appeal from a parent, a management committee, and occasionally a court. Computing it at the end of the semester from a register is how colleges end up making that determination on data they cannot fully stand behind.

Then there is the reporting layer, which has grown steadily. AISHE annually. AQAR for NAAC. NIRF if the college participates. Scholarship verification on the National Scholarship Portal, per student, per deadline. Every one of these asks for facts the college already holds, in a shape it does not hold them in — which is why they consume weeks that were meant for teaching.

Ground it stands on

A college is accountable in four directions at once: to its affiliating university for academic delivery and examination process, to the UGC or AICTE for its programmes and faculty, to NAAC for quality assurance, and to the Ministry of Education for the annual AISHE return. Each asks for facts the college already holds. The work is in the shape, the deadline, and the evidence.

The examination rules carry the sharpest edge. Detention on attendance shortage is a determination that affects a student's year and is regularly challenged, so the register behind it must be complete, timestamped, and attributable. The same applies to internal assessment: a mark that cannot be traced to the component and the moderation that produced it is a mark that will not survive a grievance.

Under the Digital Personal Data Protection Act, 2023, most of a college's students are adults — but their guardians are often the payers and the scholarship applicants, and consent has to distinguish between the two rather than assuming a family is one data subject.

Questions we are actually asked

Our university has its own file format for internal assessment. Does that work?

Yes — the export format is configured per affiliating university, including the field order, code conventions, and file type that university's portal accepts. If your university changes its format mid-year, which happens, that is a configuration change on our side and not a release. We ask for a copy of last year's submitted file during scoping so the mapping is verified before you need it.

How does detention on attendance shortage actually work?

Period-wise attendance is captured against the live timetable, so the percentage is computed per subject and in aggregate continuously rather than reconstructed at semester end. Thresholds and condonation rules are configured to your university's regulation, warnings go out at bands you set, and the detention list is generated with the underlying register attached. That last part matters: the determination is regularly appealed, and the register is what defends it.

Is this useful for an autonomous college that runs its own examinations?

Partly — you would use this edition for academics, attendance, and reporting, but an autonomous college conducting its own examinations needs the confidentiality controls in the University edition: paper setting, coding and decoding, and moderation under separation of duties. We would recommend that edition instead and say so during scoping.

Does it deposit credits to the Academic Bank of Credits?

Yes, against the student's APAAR/ABC ID, once results are final. Backlogs, improvements, and credits earned through approved MOOCs are handled as separate deposit events so the ledger reflects what actually happened rather than a final total.

How much of AQAR can it really produce?

The criterion data that comes from operations — enrolment, faculty profile and qualification, results, outcome attainment, placements, scholarships, extension activity, and student satisfaction. What it cannot produce is narrative and judgement, which is the part that should be written by your IQAC anyway. The saving is that the numbers are already there and consistent, so the writing is not blocked on a data hunt.

We are a society running several colleges. Is that one deployment?

One deployment, scoped per college. Each college keeps its own affiliating university, fee structure, calendar, and formats; the society office gets a consolidated view with drill-down. Faculty who teach across colleges hold one identity with scopes in each.

Can students see their own attendance and internal marks?

Yes, and they should — it is the cheapest way to stop a detention dispute happening at all. Students see their percentage against the threshold and their IA breakdown per component, with a grievance window before marks are locked and submitted.
